The Role
Are you an organized, detail-oriented individual who thrives in a structured environment? Do you have a knack for managing end-to-end tender processes, Microsoft office (Excel, word, PowerPoint) basic accounts, and keeping things running smoothly? If so, we want YOU to join our team! This role is key to ensuring the successful management of office administration and ensuring efficient daily operations, compilation, preparation, and submission of tender documentation from start to finish.
Key Responsibilities
- Managing office administration and ensuring efficient daily operations
- Handling basic accounts, invoicing, and financial record-keeping
- Assisting with sales administration, including processing orders and customer follow-ups
- Updating and maintaining production schedules to ensure smooth workflow
- Creating and managing reports using Excel (intermediate skills required)
- Maintaining organised records, filing, and general data entry
- Supporting the team with general admin and ad hoc tasks as needed
- Manage the end-to-end tender process: review documentation, compile required materials, and ensure submissions meet all specifications.
- Draft, format, and organize tender documents accurately and professionally.
- Interpret and align submissions with detailed tender requirements, ensuring full compliance.
- Thoroughly understand and apply the Preferential Procurement Policy Framework Act (PPPFA) and related regulations.
- Coordinate inputs from various departments and ensure submission deadlines are met.
- Maintain organized records of all tender activities and documentation.
Key Requirements:
- Minimum of 2 years’ experience in Office and Tender process Administration.
- Experience with public sector tenders (RFQs, RFPs) and eTender platforms.
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
- Strong communication skills, both written and verbal.
- Experience with basic accounting and invoicing
- Ability to manage all tender activities and documentation with accuracy.
